EXECUTIVE ASSISTANT
The Henry Art Gallery is hiring an experienced executive assistant
to work closely with the Museum Director. Candidate must have
proven capabilities to handle multiple tasks w/skill, confidentiality,
flexibility & grace under pressure. Minimum four years of administrative
experience required. Excellent benefits package, salary $40-45K, DOE.

The Henry Art Gallery’s Executive Assistant is the primary administrative
support to the Museum’s Director and supports the Museum’s administrative
operations.
RESPONSIBILITIES:
|
Support the Director’s role through efficient management
of the Director’s office: make, coordinate, and confirm
appointments and meetings; organize, prepare and draft all
correspondence; prepare, draft and edit materials and reports
(researching as necessary); and maintain comprehensive filing
and office systems.
Handle all telephone calls, arrange callbacks, provide
back-up materials for callbacks, and route calls elsewhere
as needed.
Ensure communication and serve as principle liaison
between the Director’s office and the Board of Trustees,
Advisory Council, University personnel, Museum staff, and
the community at-large.
Provide coordination for the Director’s office for
inter-departmental planning and operations.
Oversee, monitor, and personally coordinate complicated
travel arrangements.
Prepare expense tools prior to travel and expense
reports afterwards.
Organize logistics, plan, schedule, and prepare agendas
for weekly Directors’ meeting and weekly All-Staff meeting
as well as other meetings at the direction of the Director.
When the Director chairs meetings, prepare agenda
in advance, arrange meeting facilities, act as recording
secretary, and prepare action minutes.
Screen visitors to the Director’s office to control
interruptions.
Organize and prioritize large volumes of email, calls,
and other information.
Update and track delegated tasks to ensure progress
to deadlines.
Plan and carry out Director-sponsored events including
receptions, dinners, tours, and other hospitality as necessary.
Assist in searches for candidates for upper management
positions. Maintain candidate lists and coordinate Search
Committee activities, correspondence with candidates, travel
and hotel arrangements, itineraries, and agendas as needed.
Attend various Museum programs, such as previews
and special events.
Supervise support staff, work study, and other positions
as necessary.
Draft and/or prepare special reports and other written
materials as requested (Strategic Plan, Code of Ethics).
Develop and manage the Museum’s office administration
budgets. Monitor and determine appropriate charges.
As part of the internal control process for financial
administration, perform review of monthly bank reconciliations
and income statements, sign and distribute checks, and process
incoming payments for earned income.
Manage contracts for office machines and order supplies
for administrative offices.
Handle confidential and sensitive information.
Perform other duties as assigned.

QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
1. Bachelor’s degree in liberal arts or business administration; or
equivalent experience.
2. Four (4) years experience in a position with responsibility for
direct support of a Manager, Administrator or Executive Officer, and
for office management, budget monitoring, and complex project implementation.
3. Excellent written and oral communication skills. Ability to communicate
effectively and project a professional image when giving and taking
information in writing, in person and over the phone.
4. Demonstrated high-level of proficiency and extensive knowledge
of Microsoft Word, Excel, PowerPoint and Outlook.
5. Must have a high level of interpersonal skills to handle sensitive
and confidential situations.
6. Ability to assess and manage multiple competing priorities and
work well under pressure. Excellent time management, problem solving,
and analytical skills. Ability to complete multiple projects successfully.
7. Ability to work independently and as part of a team. Ability to
motivate self.
8. Position requires continual attention to detail in all aspects
of the Director’s business as well as excellent proofreading skills.
9. Demonstrated ability to work professionally and tactfully, represent
the Museum with a high level of integrity and professionalism, adhere
to Museum policies, and support management decisions in a positive,
professional manner.
WORKING CONDITIONS:
Work areas are inside, in a climate-controlled environment, with light
to moderate background noise. Position requires regular extended work
hours. Must be able to work in an open cubicle.

PHYSICAL ACTIVITIES REQUIRED TO PERFORM ESSENTIAL FUNCTIONS:
Sitting/Standing/Walking: Approximately 85% of time is spent seated
while working at a desk. Balance of time (approximately 15%) is spent
standing or moving around the work areas.
Speaking/Hearing: Clear diction and acute hearing are necessary for
effective communication with the public and co-workers.
Lifting: The ability to lift up to thirty pounds is necessary for
setting up equipment for meetings.
Stooping/Kneeling: The ability to stoop and kneel is necessary for
accessing files.
Reaching/Handling: Good manual dexterity is necessary for computer
keyboard use and for retrieving and working with appropriate paperwork,
equipment, and supplies.
GALLERY ATTENDANTS
The Henry Art Gallery is hiring Part-Time Gallery Attendants. Responsibilities
include: monitor safety of artwork in galleries, provide information
and answer questions in exhibition galleries. Candidates should
have excellent communication/customer service skills and interest
in art. $9.27 an hour. Part-time positions available, maximum 19
hours a week and is non-benefited. This position requires evening
and weekend hours and a minimum 6 month commitment. Cover letter,

Gallery Attendants create a welcoming atmosphere by orienting visitors,
answering questions and ensuring public and artwork security. Experience
or strong interest in art, visitor services or museums preferred.
This position requires a flexible schedule, evening and weekend
hours required.
Visitor
Services
Create a friendly and welcoming environment for visitors
Provide visitors accurate information about the gallery
and gallery programs
Assist visitors with their exploration of art; engage in
dialogue and answer questions
Security
Monitor activity and conditions in the gallerys public
spaces, ensure safety of artwork and public
Respond to emergency situations, alert appropriate facilities
or security staff
Events
and Programming
Work with visitors in galleries and other spaces during
facility rentals and exhibition openings
Assist in the set-up and breakdown of special events equipment

Development Support
Promote onsite membership sales in the galleries and at the front desk
Collect audience research data
Provide feedback regarding visitors to Henry Gallery staff
Attend monthly meetings and security and visitor services
training programs
Provide light clerical support, such as collating and preparing
mass mailings
